Great Lakes Region, Chicago and Dayton

Retrieve Records Electronically

You can electronically retrieve your records in two ways:

  1. CIPS
Submit an electronic request. We will ship your original records, or send them by fax or e-mail if you choose.

  2. SmartScan
We will e-mail you electronic (scanned) copies of your records.

Using CIPS

Retrieving your agency's records via our Centers Information Processing System (CIPS):

  • is the most cost effective and quickest method because it decreases mail time and retrieval processing time.

  • reduces cost and speeds up the process by sorting requests into location order for fastest servicing.

  • lets both you and the records center track requests.

CIPS is your most efficient way of making frequent and high-volume reference requests. If you have only sporadic reference need, consider these other options for obtaining your records:   Reference Request Form   |   SmartScan
